How this site uses your information
We collect enough information to make the community record credible, while avoiding tax bills, roll numbers, government ID and unnecessary personal data.
Why we ask about your community relationship
Council and residents should be able to distinguish Tillsonburg residents, Tillsonburg property owners/taxpayers, people elsewhere in Oxford County, Norfolk County, Elgin County, recreation users, workers, business owners and other supporters. These categories are used for aggregate analysis and do not make one resident's view more legitimate than another's.
Postal codes
The petition, independent survey and Community Voices form request a full Canadian postal code. It is stored privately for integrity and geographic consistency checks. The public website does not display full postal codes. Public and Council-safe exports use only broad geography and/or the first three postal-code characters (FSA) where appropriate.
Property owner / taxpayer status
If you select that you own property in your current municipality and/or specifically in Tillsonburg, that status is recorded as self-declared. We do not request a tax bill, property roll number, driver's licence or government identifier. An optional street name may be provided for administrative review, but it is not displayed publicly and is excluded from Council-safe exports.
Petition
We collect your name, email address, private postal code, residence region, selected Tillsonburg/community connections, optional comment and publication consent. Your email is used to verify control of one email address per signature. Your email and full postal code are never displayed publicly. Your name is displayed publicly only if you explicitly allow it.
Independent survey
We collect an email address, private postal code and broad community profile to reduce duplicates and allow transparent geographic analysis. New survey responses require email confirmation before they appear in public results. Survey answers are reported in aggregate.
Community Voices and Update discussions
Comments submitted through Community Voices or beneath a Community Update require email confirmation before they enter the private owner moderation queue. Nothing is published automatically. If approved, the site may display the name you provided, broad residence category and selected high-level community connections such as property-owner or recreation connection. Email addresses, full postal codes and optional property street names are not displayed.
Letter builder
The personal letter builder runs in your browser. Your name, personal reason and draft letter are not submitted to this website or stored in the site database. When you choose Open in email, your device prepares a message to the Town Clerk for you to review and send from your own email account. If you voluntarily select the optional CC to letters@keepannandalegreen.ca, a copy of the message is sent to that community mailbox because you chose to include it. The optional copy may be reviewed for common themes, but personal information should not be republished without permission.
Evidence submissions
Submitted sources are moderated before publication. Submitter email addresses are retained for follow-up and are not displayed. The credibility of evidence is based on the source itself, not whether the submitter lives locally.
Security and duplicate controls
The application uses email confirmation, one-response-per-email controls where appropriate, rate limiting and one-way hashed IP-derived values for abuse detection. The application does not store raw IP addresses for these controls.
Sharing and exports
Aggregate results and petition totals may be shared with the public, the Town of Tillsonburg and Council. The private admin export may contain email addresses and full postal codes for integrity/administrative use. A separate Council-safe export excludes email addresses, full postal codes and optional property street names.
Retention and withdrawal
You may request removal of your petition signature, survey response, comment or evidence submission by contacting info@keepannandalegreen.ca. Data should be retained only as long as needed for this community-engagement purpose, record integrity and presentation to Council.
